The Engineering Coordinator is responsible for providing administrative and operational support to the engineering department. The role includes handling maintenance requests, managing documentation, coordinating preventive maintenance schedules, and ensuring compliance with regulatory requirements. The Engineering Coordinator plays a key role in ensuring the smooth execution of preventive and corrective maintenance, supporting the engineering team and maintaining accurate records of all activities.
Administrative & Team Support
Be the go-to person for logging and tracking maintenance requests.
Manage day-to-day admin tasks (calls, filing, scheduling, communications).
Arrange meetings and site visits, capturing minutes for follow-up.
Keep engineering documentation and log sheets organized and up-to-date.
Compliance & Reporting
Monitor water analysis results and upload reports to Dubai Municipality systems.
Ensure all equipment certifications are valid and renewed on time.
Maintain accurate records for compliance with Dubai Municipality (DM) and Dubai Civil Defence (DCD).
Preventive Maintenance & Contractor Coordination
Track and follow up on preventive maintenance (PPM) schedules.
Coordinate with contractors and suppliers to ensure timely service delivery.
Support engineering leaders in ensuring smooth corrective and preventive work.
Inventory & Asset Management
Help manage tools, spare parts, and consumables stock.
Assist with CAPEX documentation and asset disposal processes.
Ensure compliance with hotel policies for asset management.
Utility & Environmental Reporting
Prepare monthly energy and water consumption reports.
Upload sustainability data to platforms like GAIA and Dubai Tourism Carbon Calculator.
Daily Operations
Monitor the RSM dashboard for maintenance tickets and ensure smooth follow-up.
Support supervisors in closing completed work orders.
Organize monthly team meetings, prepare minutes, and follow up on action items.
Other Key Contributions
Assist with special projects and sustainability initiatives.
Handle sensitive information with discretion.
Support the Director of Engineering and contribute to departmental improvements.
Technical Skills
Familiarity with engineering and maintenance terminology.
Ability to manage and track preventive maintenance schedules.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and hotel management systems.
Basic understanding of water safety, Legionella prevention, and environmental regulations.
Soft Skills
Excellent organizational and multitasking abilities.
Strong communication and coordination skills.
High attention to detail and accuracy in documentation.
Education & Certifications
Diploma in Engineering, Facilities Management, or a related field (preferred).
Certification in administrative support or office management (advantage).
