Job Description

 

We are looking for an organized, detail-oriented, and proactive Food & Beverage Administrator to join the team. The F&B Administrator will handle various administrative duties to ensure the smooth and efficient operation of the food and beverage department, support management with daily tasks, and assist in maintaining inventory, ordering supplies, and processing financial records.

Key Responsibilities:

  • Assist in the coordination of daily F&B operations, ensuring smooth execution of service.
  • Manage F&B department’s documentation, including menus, inventory logs, purchasing records, and staff schedules.
  • Ensure the timely ordering and replenishment of supplies, ensuring cost control and inventory levels are within budget.
  • Prepare and maintain accurate records for food and beverage stock, purchase orders, and supplier invoices.
  • Support the F&B Manager in creating and implementing operational and financial reports, including budget tracking and cost management.
  • Assist with the preparation of F&B financial reports, analyzing sales data, and identifying trends for improved operational efficiency.
  • Maintain communication with suppliers to ensure timely delivery of products and to resolve any issues with orders.
  • Provide administrative support for F&B meetings, including preparing agendas, taking minutes, and distributing information.
  • Organize and maintain F&B staff rosters, ensuring adequate coverage for shifts and events.
  • Help coordinate events, promotions, and special menus within the F&B department.
  • Monitor and ensure compliance with health and safety regulations, assisting with inspections and audits.
  • Handle guest inquiries and concerns related to F&B services, ensuring a high level of customer service.
  • Provide support to F&B management with training and development of team members, including updating employee records and training schedules.

Desired Skill & Expertise

  • Previous experience in an administrative role within the food and beverage or hospitality industry.
  • A relevant qualification in hospitality, business administration, or similar is preferred.
  • Strong organizational skills with an ability to multitask and manage various priorities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office, especially Excel for financial tracking and inventory management.
  • Strong attention to detail, ensuring accuracy in records and reports.
  • Ability to work effectively under pressure and in a fast-paced environment.
  • Good interpersonal skills, able to work collaboratively with various departments.
  • Knowledge of F&B industry standards and regulations is an advantage.
